PRIVACY

Privacy Policy

How the symposium office collects, uses, and protects your information.

Effective date: September 21, 2026

This Privacy Policy applies to the IEICE MWPTHz Symposium 2026 website and the registration and manuscript submission services provided through it.

Information we collect

When you register, we collect the information you provide, including your name, email address, affiliation, country or region, registration category, dietary requirements, reception and lunch selections, and consent choice.

When you submit a manuscript, we collect the registration code, paper title, corresponding author details, presentation preference, abstract, and uploaded PDF file. The website may also process routine technical information needed to operate and secure the service. Your browser stores your registration code locally after registration to help complete a later manuscript submission.

How we use information

We use this information only to administer the symposium, manage registrations and payments, receive and review submissions, plan meals and event services, communicate with participants, maintain service security, and meet applicable administrative or legal requirements. We do not sell personal information or use it for advertising.

Service providers and disclosure

Registration and submission metadata is stored using Cloudflare services. Manuscripts and administrative spreadsheet exports are stored in a private Google Drive folder accessible to authorized symposium personnel. Registration fee payments are handled by Payvent under its own terms and privacy practices; this website does not collect payment-card details.

We may share information with symposium organizers and service providers only as needed for these purposes, or when disclosure is required by law.

Google API data

The website uses an organizer-authorized Google account solely to create and update symposium files in Google Drive. Participants are not asked to connect their own Google accounts. The website's use and transfer of information received from Google APIs adheres to the Google API Services User Data Policy, including its Limited Use requirements.

Retention and security

We retain information for as long as reasonably necessary to organize the symposium, maintain its administrative record, resolve inquiries, and meet applicable obligations. We use reasonable organizational and technical safeguards to protect information, although no online service can guarantee absolute security.

Your choices

You may ask the symposium office to review or correct your registration information, or to request deletion where it is no longer required for symposium administration or legal obligations.

Changes to this policy

We may update this policy when the symposium services or legal requirements change. The effective date above identifies the current version.
